Positions: Property and Facilities Manager

Reports to: Senior Manager, Service Delivery

Salary Range: $50,000 – $55,000

 

Summary

The Property & Facilities Manager is responsible for the oversight of general operations and maintenance of all Alice House housing properties and program spaces consistent with the mission, mandate, and values of Alice House.

Alice House works with women and fem-identifying individuals transitioning towards independence after experiencing domestic violence. Female and fem-identifying applicants are strongly encouraged to apply.

 

Key Accountabilities:

Facilities Management

Oversees large scale or multi-residential renovation and maintenance projects by liaising with building inspectors, fire marshals, insurance providers and consultants to coordinate care and upkeep of properties.
Maintains inventory records in accordance with Alice House procedures.
Responsible for identifying immediate and longer-term building related risks.
Conducts/oversees assessments of Alice House buildings (Building Condition Assessments) are done regularly.
Makes recommendations on long-term plans for properties, including cost-benefit analyses of maintenance/renovations and selling/purchasing properties.
Identifies efficiencies and opportunities for process improvement, cost reduction and/or funding opportunities.
Property Maintenance

Ensures the oversight of general maintenance of all properties.
Supervises and/or conducts all maintenance, minor repairs, and renovation services.
Ensures alarm systems are functioning, and regularly monitors the security system.
Adheres to budgets for property maintenance.
Ensures adherence to government building codes and regulations.
Ensures inspections are conducted when required and follow-up work is completed.
Develops and maintains relationships with reputable contractors and repair technicians.
Keeps management informed of health and safety concerns.
Provides tenants with instruction for on-call support services.
Ensures records are maintained as required by Alice House and by government regulations.
Oversee cleaners and/or contribute to organization, junk removal and cleaning procedures as required.
Tenant Relations

Works with the Housing Case Manager to communicate notice, updates, and property/facility related information to tenants.
Maintains positive working relationship with tenants.
Maintains confidentiality of tenants and models boundaries between Alice House supportive services and facilities management.
Escalates Alice House service-related concerns to management, and/or provides tenants with referral information for services outside of the scope of facilities.
Supports removal of abandoned tenant property.
Financial Management and Procurement

Accountable for the cost-efficient operation of Alice House properties.
Oversees tendering procedures.
Contributes to budget planning for property and facilities maintenance.
Contributes to funding proposals ensuring appropriate tendering procedures and budget development.
Provides regular reports to management and maintains a record of capital expenditures.
Ensures regular input of relevant data in the property management software system.
Qualifications and Conditions of Employment:

Technical/Professional Qualifications and Experience:

Degree or diploma in business or finance and/or Residential Property Management certificate/diploma or a combination of education and experience and/or equivalent work experience.
Minimum two (2) years experience related to maintenance, facilities and/or property management.
Experience in providing handy person services.
Experience working with vulnerable populations and/or in a non-profit setting considered a strong asset.
Exceptional organizational and decision-making skills.
Strong operational budget management skills.
Proficiency in Microsoft Suite programs.
Knowledge of provincial and municipal regulations regarding buildings and land (i.e., building codes, would be an asset).
Knowledge or previous use of property management software is an asset.

Conditions of Employment:

A car is required for this position, along with a valid NS Driver’s License and personal insurance coverage.
Generally, Monday – Friday, 9am-5pm with the ability to work flexible hours, sometimes on-call for emergencies.
Residential Property Management course preferred.
CPR/Standard First/Mental Health First Aid or ASIST are required for this position.
Ability to stand, walk or sit for extended periods.
Ability to lift moderate weight.

Pay Range: $50,000 – $55,000
