Camp Kidston seeks a new Financial Administrator beginning immediately.
Organization Overview
Arthur Kidston Memorial Camp, operating since 1966 as “Camp Kidston”, is a year-round facility located on over 500 acres of water and woods in the northeast corner of Halifax Regional Municipality, on beautiful Long Lake. Programming includes lakeside supervised swimming and water activities, sports and games, arts and crafts, campfires, out-trips and faith exploration for children and youth. Responsibilities of the Financial Administrator position combine those of Bookkeeper and Registrar for the Camp. The accounting system used is QuickBooks Online, while the camping software is Camp Brain. The Financial Administrator reports to the Treasurer and works closely with the Payroll Administrator and Executive Director (ED). The role requires about 6-8 hours per month of time on average, with spring being busier and winter quieter.
Key responsibilities:
1. Accounts Payable: Ensure that all receipts and payments are recorded in QuickBooks
2. Accounts Receivable: Monitor the payment processes for camp registration fees
3. Record staff payroll in QuickBooks in conjunction with the Payroll Administrator
4. Prepare monthly financial statements for the Treasurer, Executive Director and Board
5. Reconcile the bank account monthly, monitor cash flows
6. Assist with the annual budget process by providing historical financial information
7. Produce annual tax certificates for charitable donations
8. Contribute to Board discussions and decision-making from a financial viewpoint
Ideal Skills and Experience
Education and Certification:
Certified Professional Bookkeeper (ideal)
Relevant certifications (e.g., QuickBooks Certified ProAdvisor, Not-for-Profit Certificate I: Foundational Concepts) can be a plus.
Equivalent experience in lieu of certification may be considered
Skills:
Accounting Software: Proficiency in QuickBooks Online is essential. Proficiency in other bookkeeping software may be considered. Familiarity with Camp Brain (registration software) would be a bonus.
MS Excel – advanced proficiency. MS Office suite, Google suite.
Accounts Receivable & Payable, Financial Reporting and Banking
Payroll Processing: Understanding of payroll procedures and basic knowledge of Payworks, the payroll software (will be done in conjunction with a Payroll Administrator.)
Organization & Attention to Detail: Meticulous with record-keeping and ensuring accuracy in financial transactions. Problem-Solving: Ability to identify and resolve discrepancies in financial data.
Experience:
2-4 years of experience in a financial role (e.g., bookkeeper, accounting assistant) is ideal.
Non-profit experience is a plus, especially if familiar with charitable donation regulations.
Stipend
This role offers a $250/month stipend. From August through January, you can expect it to require just 6-8 hours per month (a couple of hours per week.) From March through June, registration season, the job requires substantial effort, i.e.12 hours per week. While the role does offer a stipend, it may not reflect the dedication and hours required during the busiest months, thus this role is viewed as voluntary in part.
