The Portal Youth Outreach Association is at the forefront of the work to end youth homelessness by seeing that all youth have a have a safe, nurturing, and loving home. Join our dynamic team, in this exciting and challenging work as our Office Manager. You will develop and maintain administrative and financial systems support for all programs of the Association. The successful candidate will carry out their role with attention to detail in the changing environment of a dynamic organization.


Managing Office Logistics

1.       Coordinate and oversee the collection of statistical information, vendor accounts, banking, and onsite/cloud systems for client records, release of information, and associated reports.

2.       Coordinate the inflow and outflow of physical and electronic communication for the organization.

3.       Oversee the purchase and inventory of office and program supplies.

Human Resources

1.       Maintain staff and volunteer HR records, police checks, child abuse registry, employee contracts, and employee benefits.

2.       Provide support for hiring, onboarding, reviews, and staff development, as required.

Financial Stewardship

1.       Assist the Director and the Board, in identifying, assessing, budgeting, and negotiating financial resources to implement changes within the current and future needs of the organization.

2.       Maintain organizational Human Resource, financial records, accounts, and contracts using Quickbooks Online and Excel.

3.       Process all payables and receivables for the organization in partnership with the accountant.

4.       Provides the needed information to the accountant for payroll, emittances to the Receiver General, Workers Compensation Board, and complete monthly bank reconciliations.

5.       Provides information to the auditor for the annual review.

Candidates will receive a more extensive role guide prior to interviews.


·         Post-secondary education, preferably in accounting or current related work experience.

·         Extensive experience using QuickBooks Online.

·         Experience managing QuickBooks Projects or Not-for-profit fund accounting is an asset.

·         Strong accounting, technical, and administration skills.

·         Excellent organizational, attention to detail, able to meet deadlines, and time management skills.

·         Effective oral and written communication skills.

·         Have experience that can demonstrate exceptional work ethics and practices.

·         Responsive, proactive, and strong problem-solving skills.

·         Ability to work in fast-paced environments with limited supervision.

·         Must have a clean child abuse registry check, criminal record check, and be bondable.

Salary: $22- 24/hour based on a 35-hour work week for an annual salary of $40,040- $43,680 plus benefits. Benefits include health and dental; 15 personal days/ year, and 15 vacation days per year. Expenses for travel for job duties and related expenses are reimbursed.
