Position Overview

The Finance and Operations Manager will play a pivotal role in ensuring the financial health and operational efficiency of The PREP Academy. Reporting to the Executive Director, this role involves financial management, operational leadership, human resources, and strategic planning. The ideal candidate is a proactive leader, ready to optimize processes and represent the organization to stakeholders and partners.

Salary: $65,000 – $80,000. Salary is commensurate with experience.

Hours: Part-Time or Full-Time (flexible based on candidate availability)

Term: 1-year, with the possibility of extension

Start Date: February 2025

Key Responsibilities (to summarize)

Financial Management

  • Manage program budgets, financial forecasting, payroll, benefits, taxes, accounts payable/receivable, and donations, ensuring financial controls and compliance with CRA, NS Joint Stocks, and other regulations.
  • Oversee financial reporting (monthly, quarterly, annual), audits, and cash flow management, while preparing budgets for grant proposals and monitoring grant compliance and deliverables.

Operational Leadership

  • Lead organizational systems, including CRM, IT, telephone, insurance accounts, and office management, while ensuring compliance with policies, government regulations, and funding requirements.
  • Document and optimize operational processes, maintain secure records, and oversee office functionality and landlord/property management coordination.

Human Resource Management

  • Oversee recruitment, onboarding, training, and HR operations, including maintaining HRIS systems (e.g., WagePoint) and mentoring interns through meaningful roles and funding programs.
  • Foster a positive workplace culture, providing professional development opportunities and supporting staff retention

Board Liaison

  • Provide administrative and governance support to the Board of Directors and committees by preparing reports, coordinating meetings, and ensuring compliance with strategic plans and bylaws.
  • Assist in onboarding new Board members and drafting policies to support effective governance.

Qualifications

  • Degree or diploma in accounting, business, or a related field.
  • 2-4 years of finance and leadership experience.
  • Proficiency in financial management systems (e.g., QuickBooks, DEXT).
  • Strong communication skills and the ability to engage diverse stakeholders.
