POSITION SUMMARY

The Co-Executive Director – Operations will be responsible for managing the administrative staff, overseeing fundraising and development, finance and administration, strategic planning of the organization, and other duties alongside the Co-Executive Director – Programming, and the Board of Directors. The goal of the Co-Executive Director role is succession planning to co-leadership through learning, training and mentorship with the current other Co-Executive Director. The Executive Director position reports to the President of RRANS.

WHO WE ARE LOOKING FOR

The ideal candidate will be an LGBTQI+ newcomer who has experience working within and knowledge of the 2SLGBTQIA+ community and/ or the newcomer community. They will have experience working in nonprofits, have leadership and management experience, and administrative expertise.

 

SPECIFIC RESPONSIBILITIES

This role consists of the following duties and responsibilities:

Research and Development (20%)

  • Conducting an internal scan of current organizational policies & practices.
  • Conducting an external scan of partner organization promising practices for 2SLGBTQIA+ inclusion and anti-racism within non profit organizations, and human resources.
  • Conducting interviews and focus groups with current RRANS community members to understand successes, challenges, and barriers to inclusion for BIPOC, newcomer, and 2SLGBTQIA+ individuals within RRANS structure.
  • Development of 2SLGBTQIA+ newcomer informed hiring practices and policies, as well as promising practices for these areas.
  • Development of organizational policies and promising practices/ processes to support the inclusion and retention of LGBTQI+ newcomers within staff, volunteer, and board positions.

Leadership Development (20%)

  • Undergoing leadership and organizational training in order to lead the organization.
  • Development of materials and assets to enhance leadership skills and experience for other 2SLGBTQIA+ newcomer staff members, volunteers and board members.
  • Delivery of workshops and materials to enhance leadership skills and experience for other 2SLGBTQIA+ newcomer staff members, volunteers and board members.
  • Development and Implementation of strategic planning and resources for RRANS, and other organizations to use, aimed integrate dismantling white supremacy and promoting inclusion of 2SLGBTIA+ newcomers in organizational structures.
  • Collaborate with the Co-Executive Director – Programming and Board of Directors in maintaining the vision and strategic plan to guide the organization
    Identify, assess, and inform the Board of Directors of internal issues  affecting the organization
  • Act as a advisor to the Board of Directors on all operational aspects of the organization’s activities
  • Foster effective teamwork among the Board of Directors, staff, and volunteers
  • Ensure that RRANS is in compliance with legal and financial laws and all activities are insured
  • Carry out duties as the Board may reasonably request
  • Work in a manner that promotes equity and encourages active participation of members from a wide range of organizations, backgrounds & social circumstances
    Attend LGBTQI+ newcomer training sessions, and other training opportunities as needed.
  • Being mentored, coached, and engaging in succession planning with the co-ED is part of this role

Human Resources (20%)

  • Under the direction of the Board, responsible for the recruitment, retention, and development of operational personnel, including paid staff, and independent contractors.
  • Responsible for leading, coaching, and mentoring operational staff, including regular meetings to check-in and offer feedback and guidance.
  • Ensure the effective management of human resources by setting and evaluating program staff performance targets using participatory and holistic methods.
  • Promote respect, equity, and well-being in a diverse workplace that spans physical and virtual spaces.
  • Ensure that all operational staff receive an orientation to the organization and that appropriate training is provided.

Finances (20%)

  • Develop, along with the Co-Executive Director and Board Treasurer, a yearly budget, and individual program budgets.
  • Work with the Treasurer and Bookkeeper to complete regular accounting and invoicing, and the creation of yearly financial statements.
  • Manage the Bookkeeper hired by RRANS.
  • Manage RRANS cash flow, online banking, along with payments from donors and granting organizations (account receivable).
  • Manage RRANS payments to suppliers and others, and manage all of the payments and finances related to newcomer stipends (accounts payable).
  • Coordinate and manage the filing for Canada Revenue Agency (CRA) donation tax receipts, and any filing related to RRANS tax status Respect and adhere to RRANS financial controls, and regularly update financial controls and risk management, based on current best practices.
  • Work with a bookkeeper to develop sound bookkeeping and accounting procedures.
  • Administer the funds of the organization according to the approved budget and monitor the monthly cash flow of the organization.
  • Provide the Board with comprehensive, regular reports on the revenues and expenditures of the organization.
  • Report immediate any concerns or questions to the Treasurer or appropriate Board member.

Operational Planning and Management (20%)

  • Develop an operational plan that incorporates goals and objectives, working towards the achievement of the strategic direction of the organization.
  • Ensure that the operation of the organization meets the expectations of its stakeholders, including reporting to funders.
  • Support and oversee efficient and effective day-to-day operations of the organization.
  • Oversee the development of policies for the approval of the Board, including but not limited to:
  • prepare procedures to implement the organizational policies;
  • review existing policies on an annual basis;
  • and recommend policy changes to the Board as appropriate
  • Ensure organization and security of detailed digital and hard copy files.
  • Provide support to the Board by preparing meeting agendas and supporting materials.
  • Lead regular team meetings, and meetings with supervisor to check on progress of projects.
