This Moment, This Position
Reporting to the Chief Financial Officer, the Accounting & Payroll Officer plays a key role in supporting both accounting and payroll operations within Millbrook First Nation’s Administration Department. This position balances core accounting responsibilities with hands-on payroll support, contributing to the accuracy, continuity, and long-term sustainability of financial operations.

In this role, you will support accounting operations while contributing to the continuity and long-term sustainability of payroll administration. You will assist with day-to-day accounting functions and work closely with evolving payroll processes, helping ensure accuracy, consistency, and confidentiality across financial activities.

Through this work, you will contribute to the responsible stewardship of community resources, bringing attention to detail, sound judgment, and a respectful, culturally aware approach to financial administration in support of Millbrook First Nation and its members.

How You’ll Contribute
Accounting

  • Receive and verify invoices and requisitions for accounts payable, confirming payment amounts and deductions.
  • Capture and prepare revenue data from government and owned-source funding for the Controller’s review.
  • Complete monthly bank reconciliations for assigned entities.
  • Support audit preparation by organizing documents and responses for external auditors.
  • Maintain and monitor insurance coverage for each entity.
  • File statutory returns such as HST and workers’ compensation under the Controller’s supervision.
  • Process and pay accounts payable across Millbrook’s programs and departments, including administration, health, education, outreach, and maintenance.
  • Process construction supplier invoices and allocate material costs to specific projects or properties.
  • Maintain audit-ready files for housing repairs and deferred projects.
    Receive, process, and pay MTS sport grant applications, maintaining accurate records.
  • Support the Treaty Enterprise Credit Application process, including cheque and direct deposit issuance and recordkeeping.
  • Calculate and remit contributions for Millbrook Minor’s Trust Accounts and Treaty Enterprise Credits.
  • Complete assigned month-end close duties and submit checklists for review.
  • Perform other related duties as assigned by the Controller.

Payroll

  • Process payroll for assigned Millbrook entities using the Criterion payroll system, including both salaried and hourly employees.
  • Verify and enter employee hours, including time clock data for hourly staff.
  • Calculate and process all payroll deductions, benefits, and statutory remittances accurately and on time for payroll runs.
  • Prepare and submit remittances and reports to government agencies and benefit providers, including Manulife pension contributions.
  • Maintain accurate payroll records, ensuring compliance with organizational policies and statutory requirements.
  • Contribute to continuous improvement and streamlining of payroll processes to enhance accuracy, efficiency, and compliance.

What You’ll Bring
Education and Experience

  • Diploma or degree in Accounting or a related field.
  • Minimum of three years of experience supporting accounting and payroll functions, including the use of financial and payroll systems.
  • Strong understanding of accounting principles, financial reporting, and reconciliation processes.
  • Experience supporting payroll processing, including data entry, time verification, and remittances.
  • Proficiency with Microsoft Office, particularly Excel, and familiarity with spreadsheets and databases (Criterion).
  • Proven ability to maintain accuracy, organization, and efficiency in data management and documentation.
  • Knowledge of First Nation governance is considered an asset.

The Package
Salary: $55,000 – $65,000. Compensation is based on education, skills and experience.

Benefits and Perks: Health & Dental coverage, Pension Plan, paid Vacation and Medical days, 2-week paid Holiday Shutdown, observance of Federal and Provincial Holidays, 4 additional Indigenous Holidays, and Summer Fridays.

Schedule: Monday to Friday, 32-hour compressed work week. Some evenings and weekend availability will be required from time to time.
